Cancellation Policy – Azaan Travels
At Azaan Travels, we understand that travel plans can sometimes change due to personal or unforeseen circumstances. To ensure transparency and fairness for all our guests, we have established the following cancellation policy. We recommend that all travelers read and understand the terms carefully before confirming their booking.
1. Cancellation by the Customer
If you wish to cancel your tour or travel service booked with Azaan Travels, you must inform us as soon as possible through email, phone call, or written communication. The cancellation request will be processed based on the date we receive your cancellation notice, not the travel date itself. Cancellation charges may apply depending on how close the cancellation is to the scheduled travel date.
2. Cancellation Charges
Cancellation fees will be applied according to the time remaining before the tour departure date:
- 30 days or more before the travel date: 10% of the total tour cost will be charged as a cancellation fee.
- 15 to 29 days before the travel date: 25% of the total tour cost will be charged.
- 7 to 14 days before the travel date: 50% of the total tour cost will be charged.
- Less than 7 days before the travel date: 100% of the total tour cost will be charged, and no refund will be issued.
These charges help cover administrative costs, reservations, and arrangements already made for your tour.
3. No Show Policy
If a traveler fails to arrive at the designated meeting point, hotel, airport, or tour starting location without informing us in advance, it will be considered a No Show. In such cases, the full booking amount will be non-refundable.
4. Cancellation by Azaan Travels
Although rare, Azaan Travels reserves the right to cancel or modify a tour due to unavoidable circumstances such as natural disasters, government regulations, political unrest, weather conditions, or situations beyond our control. In such cases, customers will be offered an alternative travel date or a similar tour package. If the alternative option is not suitable, a full refund of the paid amount will be provided.
5. Refund Policy
If a cancellation qualifies for a refund according to the terms above, the refund will be processed within 7–10 working days. Refunds will be issued using the same payment method used during booking, unless otherwise agreed.
6. Amendments or Changes to Booking
If you wish to modify your travel dates, tour itinerary, or services after confirming your booking, please contact us as soon as possible. Changes are subject to availability and may involve additional charges depending on the nature of the modification.
7. Third-Party Services
Some services such as hotel bookings, flight tickets, train tickets, or special activities may have their own cancellation policies set by third-party providers. In such cases, those policies will apply in addition to the Azaan Travels cancellation terms.
